Privacy Policy
Last updated: September 28, 2026
This Privacy Policy explains what personal information Cyclone Pods LLC (“Cyclone Pods”, “we”, “us”) collects when you visit or buy from cyclonepods.com (the “Site”), how we use it, who we share it with, and the choices you have.
Information we collect
Information you give us. When you place an order, create an account, subscribe, write a review, ask a question, or contact support, we collect what you enter. That can include your name, email address, phone number, billing and shipping addresses, order details, account password, birthday (if you add it for loyalty rewards), subscription preferences, reviews and Q&A posts, and messages you send us.
Payment information. Card payments are processed by Authorize.net, and Afterpay payments by Afterpay. We don't store full card numbers on our servers. If you save a card or start a subscription, the card is stored with Authorize.net, and we keep a reference to it plus the card type and last four digits.
Age confirmation. Vape products are for adults 21 and older. When you confirm your age at checkout, we record that confirmation with the time, your IP address, and your browser's user agent, and keep it with your order.
Information collected automatically. When you browse the Site, we and our service providers collect device and usage information: your IP address, browser and device type, approximate location derived from your IP address, pages and products you view, the site or ad that referred you, and how you interact with the Site. We collect this with cookies, local storage, pixels, and similar technologies. Our analytics tool (PostHog) also records page interactions to help us fix problems. It masks what you type into form fields, and card fields are never recorded.
How we use your information
- To process and ship orders, handle returns and refunds, and run subscriptions.
- To run your account, loyalty points, and referral rewards.
- To send order confirmations, shipping updates, and account messages.
- To send marketing emails and texts, but only if you opted in. You can unsubscribe at any time.
- To confirm age eligibility and to prevent fraud, card testing, and abuse.
- To answer support requests, and to publish reviews and Q&A posts you submit. These appear on the Site with your first name or display name.
- To understand how the Site is used and improve it, and to measure and show ads.
- To meet legal, tax, and accounting obligations, and to protect our rights.
Who we share it with
We share personal information with service providers that help us run the Site and fulfill orders. They may use it only to provide their services to us.
- Payments: Authorize.net (cards, and Apple Pay or Google Pay if you use them), Afterpay.
- Shipping and fulfillment: our shipping software, shipping carriers, and partner warehouses that ship some items directly.
- Sales tax: TaxJar (your address and the items in your order, used to calculate tax).
- Email and text messages: Resend (order and account emails), Omnisend (marketing email), Postscript (text messages).
- Hosting, security, and site reliability: DigitalOcean (servers), Cloudflare (content delivery and security), Sentry (error monitoring).
- Bot protection: We use Cloudflare Turnstile to protect checkout, reviews, and Q&A from bots and fraud. Turnstile runs a check in your browser that may collect information about your device and browser, which Cloudflare processes under its Turnstile Privacy Addendum: https://www.cloudflare.com/turnstile-privacy-policy/.
- Analytics: PostHog and Google Analytics.
- Customer support: our live chat and help desk tools.
- Partner offers: After checkout, the order confirmation page may show offers from Rokt. To do this, Rokt receives your order number and total, your first name, and a hashed (scrambled) copy of your email address.
- Advertising: Meta (Facebook and Instagram) and Google Ads. See “Advertising and your choices” below.
- Affiliates and creators: if you arrive through a partner's link, the partner's tracking service (such as Trybe) receives a click identifier so the partner can be credited for the sale.
We may also disclose information to comply with the law or a subpoena, search warrant, or other lawful request, to prevent fraud, or to protect our rights. If our business is sold or merged, customer information may transfer as part of that transaction.
Advertising and your choices
We use Meta and Google ad tools to measure our ads and show you ads for our products on other sites and apps. These tools receive information about your visits and purchases, such as the products you view and your order value. To match you to your ad accounts, they also receive hashed (scrambled) copies of your email address, phone number, name, and address. Meta also receives some of this information directly from our servers, along with your IP address and browser user agent. Under some U.S. state privacy laws, this can count as “sharing” or “selling” personal information for targeted advertising.
How to opt out:
- Use the Your Privacy Choices page, linked at the bottom of every page, or choose “Opt out” in the cookie banner. The setting applies to the browser you use, so set it on each browser or device. If you are in the European Economic Area, the UK, or Switzerland, analytics and advertising cookies stay off unless you choose to allow them.
- Turn on Global Privacy Control in your browser. We treat that signal as a request to opt out of the sale and sharing of your personal information.
- Adjust your ad settings with Meta (https://www.facebook.com/settings/?tab=ads) and Google (https://adssettings.google.com), or use the Digital Advertising Alliance opt-out at https://optout.aboutads.info/.
Our Site does not change its data collection in response to browser “Do Not Track” signals.
Your privacy rights
Depending on where you live, including California and other U.S. states with privacy laws, you may have the right to:
- Know what personal information we hold about you, and get a copy of it.
- Correct information that is wrong.
- Delete your information.
- Opt out of the sale or sharing of your information for targeted advertising.
To use any of these rights, email support@cyclonepods.com. We will need to verify your identity before we act on the request, usually by confirming details that match your account or orders. An authorized agent can make a request for you with your written permission. We won't treat you differently for using your rights. We answer within the time the law requires, normally 45 days. If we deny your request, you can appeal by replying to our decision.
We may keep some information when the law allows, for example records of completed orders that we need for tax and accounting.
California “Shine the Light”. California residents can ask us, once a year, whether we have shared their personal information with third parties for those third parties' own direct marketing. Email support@cyclonepods.com to make that request.
Europe, the UK, and Switzerland. If you live in one of these places, you also have rights to access, correct, delete, restrict, or object to processing of your personal information, and to data portability. We process your information to perform our contract with you (your order), to follow the law, on the basis of your consent (marketing and cookies), or for our legitimate interests (fraud prevention and improving the Site). Your information is processed in the United States.
How long we keep information
We keep order and account information for as long as your account is open and as needed for tax, accounting, fraud prevention, and legal requirements. We delete or anonymize information when we no longer need it, or when you ask us to and the law lets us.
Security
We use encryption in transit (HTTPS), access controls, and payment processors that comply with the payment card industry's security standard (PCI DSS) to protect your information. No system is completely secure, so please use a strong, unique password for your account.
Age requirements
You must be 21 or older to buy vape products from us. We don't knowingly collect personal information from children under 16. If you think a child has given us personal information, email us and we will delete it.
Changes to this policy
We may update this policy as our practices or the law change. We will post the new version here and update the date at the top.
